Job Description:

Our client is looking for an experienced and dependable part-time Bookkeeper. You will maintain accurate financial records. You will also support day-to-day accounting across multiple locations. This hands-on role reports to the Finance Manager. You will focus on QuickBooks Online, reconciliations, accounts payable and receivable, transaction coding, and month-end support. The ideal candidate follows through on outstanding items. You will identify discrepancies and maintain organized documentation with minimal supervision.

 

Responsibilities of the role:

• Maintain QuickBooks Online records, review bank-feed transactions, and code activity to the correct account, entity, location, or class under established accounting policies.

• Reconcile bank accounts, corporate credit cards, clearing accounts, and loan balances. Investigate discrepancies and maintain supporting schedules.

• Reconcile Toast sales and settlement activity to bank deposits and accounting records. This includes cash, card receipts, processing fees, refunds, tips, and loan deductions.

• Process and maintain accounts payable in BILL and QuickBooks Online. Verify invoices and approvals, identify duplicates, and prepare payment schedules for Finance Manager approval.

• Maintain accounts receivable, record receipts, and reconcile customer and franchise royalty balances. Coordinate follow-up on outstanding invoices.

• Track cash deposits and register cash activity. Obtain receipts and approvals. Escalate missing documentation or departures from company cash-handling policies.

• Apply approved COGS and inventory coding policies. Distinguish product costs from operating expenses. Flag uncertain classifications for review.

• Support month-end close through reconciliations, approved journal entries, prepaid and accrual schedules, and organized documentation for Finance Manager review.

• Generate standard QuickBooks reports, including profit and loss, balance sheet, cash flow, and aging reports. Support accurate reporting by location.

• Provide current cash balances, open bills, expected receipts, and payment due dates to support the Finance Manager's cash flow forecasting.

• Support payroll by reviewing approved source information, recording payroll entries, and reconciling wages, tips, deductions, and payroll liabilities with the payroll provider.

• Communicate with vendors, customers, and location managers to resolve accounting questions and obtain missing records. Maintain orderly digital files and accounting inbox follow-up.

• Prepare supporting records for external accountants and tax preparers. Recommend practical improvements to recurring bookkeeping procedures.

 

Required Experience and Qualifications:

• At least 3 years of hands-on bookkeeping or accounting experience. This includes bank and credit card reconciliations, accounts payable, accounts receivable, and month-end support.

• Advanced proficiency in QuickBooks Online. This includes bank feeds, account reconciliations, reporting, and troubleshooting transaction discrepancies.

• Strong understanding of double-entry bookkeeping, the chart of accounts, accrual accounting, and consistent expense classification.

• Proficiency with Google Sheets or Excel. This includes formulas, sorting, filtering, and reconciliation schedules. You can learn new applications quickly.

• Excellent attention to detail, organization, time management, and written communication skills. You can meet agreed deadlines within a part-time schedule.

• Ability to handle confidential information and work independently. You can raise unresolved issues promptly and professionally.

• English level C1 or C2.

 

Preferred Skills:

• Experience supporting multiple locations or entities in hospitality, food and beverage, retail, or franchise operations.

• Experience with Toast POS and BILL. Familiarity with inventory, COGS, cash controls, and POS settlement reconciliations.

• Experience correcting historical bookkeeping issues and maintaining clear reconciliation and close checklists.

• An Associate degree in accounting or a related field, a bookkeeping certification, or a QuickBooks Online ProAdvisor certification.
