Job Description:

Our client is seeking a part-time Administrative Assistant with strong organizational and customer service skills. This role will involve supporting daily operations, managing customer inquiries, and assisting with scheduling and communications.

 

Responsibilities:

• Assist with customer inquiries and provide follow-up as needed.

• Manage appointment scheduling and coordinate meetings.

• Handle inbound and outbound calls using the company’s Google Voice number.

• Utilize HVAC software (Housecall Pro) for managing work orders and scheduling.

• Maintain organization of client information and communication records.

• Learn and navigate the HVAC software to answer customer questions effectively.

• Support the team with administrative tasks and lead generation efforts.

 

Required Experience and Qualifications:

• Experience in a customer service or administrative support role, preferably in HVAC or a related field.

• Familiarity with HVAC concepts and terminology is highly desirable.

• Proficiency in communication and interpersonal skills.

• Ability to learn new software quickly and efficiently.

 

Preferred Skills:

• Strong organizational and multitasking abilities.

• Comfortable with technology and using various communication tools.

• Experience in follow-up sales processes or appointment setting.

• Proficient in English (C1 or C2 level).

 

Personality:

• Friendly and professional demeanor.

• Energetic and motivated to succeed.

• Detail-oriented with a proactive approach to tasks.

 

Software & Tools:

• Housecall Pro (HVAC software).

• Google Voice for handling calls.

• Clockify for time tracking.

 

English Level:

• C2.

 

Schedule:

• Part-time with possibility to turn on to full-time 9-13 EST.

 

Compensation & Benefits:
