Job Title: Administrative Assistant / Appointment Setter

 

Position Description:

As an Appointment Setter, you will be the cornerstone of sales and marketing efforts. Your role involves managing lead flow, setting and confirming appointments, maintaining customer records, and supporting the sales team to optimize client engagement. This is not a cold-calling position—leads consist of customers who have already expressed interest in the services. Your primary responsibility is to assess customer needs, schedule appointments, and ensure seamless communication between clients and our team.

 

You will be the main point of contact for all customer communications, ensuring their journey from initial inquiry to service completion is smooth and professional. This role reports directly to the Business Owner.

Work Schedule: 

  • Saturday - Sunday: 9:00 AM - 5:00 PM (Pacific Standard Time)

 

Key Responsibilities:

  • Call back leads and set appointments.
  • Reschedule missed appointments and maintain sales calendars.
  • Provide excellent customer service and handle inquiries effectively.
  • Re-hash unsold jobs to recover potential clients.
  • Achieve weekly and monthly quotas.
  • Assist in scheduling installations and maintain accurate records in company software.
  • Communicate all activity to the Franchise Owner accurately.

 

Required Experience and Qualifications:

  • Previous experience as an Appointment Setter is preferred, but not required.
  • Proficiency in verbal and written English (C2 level).
  • Strong communication and interpersonal skills.
  • Self-motivated and able to prioritize tasks effectively.
  • Professional demeanor and ability to handle customer interactions calmly.
  • Basic computer skills; experience with Service Minder or similar CRM software is a bonus.
  • Customer service experience is advantageous.
