Job Title: Marketing Coordinator

 

Job Description:

This role is ideal for a highly organized, proactive, and detail-oriented individual with experience in email marketing, social media coordination, and CRM management. The goal is to offload execution work from the founder, ensuring all marketing campaigns and operational tasks are implemented smoothly and on schedule.

 

About the company:

Our Client is a fast-growing real estate and vacation rental business specializing in high-end rental properties and home sales. They are seeking a Marketing Coordinator to support marketing execution, content scheduling, and customer communication.

 

Work Schedule:

• Part-Time (20 hours per week)
• Work hours must align with Eastern Time Zone (ET) (between 9 AM to 5 PM EST)
• The position starts as part-time (20 hours per week), with potential to grow into a full-time role after 90 days based on performance.

 

Responsibilities of the role:

• Marketing Execution & Coordination (Execution Focused):
• Manage and schedule email marketing campaigns using ActiveCampaign.
• Format and finalize emails using Stripo before deploying campaigns.
• Set up and manage email and SMS marketing automation sequences.
• Maintain and execute the social media content calendar for Instagram and Facebook.
• Brief designers on required assets and ensure content aligns with campaign objectives.
• Publish approved content and track performance metrics.
• Maintain organized marketing workflows using Notion for content planning.

Administrative & Customer Support (Light but Helpful!):

• Respond to email and text inquiries from potential clients and guests.
• Organize and update CRM data in Salesmate (tagging contacts, logging interactions, managing follow-ups).
• Monitor marketing analytics and provide performance reports.
• Help structure and maintain internal documents, including Google Drive and Dropbox file organization.

Workflow & Task Management (Proactive Support for the Founder):

• Own recurring marketing tasks to ensure consistency and reliability.
• Track and manage deadlines, following up as needed to keep projects moving.
• Ensure all necessary approvals are obtained before deadlines.
• Document workflows and create internal SOPs for repeatable tasks.
• Take initiative in identifying efficiency improvements to reduce manual effort.

 

Required Experience and Qualifications:

• Proficiency in marketing automation tools. Ideally in ActiveCampaign, but similar ones like Mailchimp, Constant Contact, or Brevo are also useful).
• Experience with email scheduling and automation (working with HTML email templates and audience segmentation).
• Social media content scheduling experience (Instagram & Facebook).
• Highly organized and able to manage multiple tasks efficiently.
• Strong written English skills (for emails, marketing content, and client communication).
• Familiarity with CRM systems (Salesmate or similar).
• Ability to follow processes and proactively solve problems.

 

Preferred Skills:

• Experience with paid ads (Meta Ads, Google Ads).
• Basic SEO knowledge (even though it's not a primary focus).
• Basic graphic design skills (Canva, Photoshop).
• Experience in real estate, vacation rentals, or hospitality industries.

 

Language Requirements:

• English Proficiency Level: C1 (Advanced proficiency in written communication required)

 

Salary and Benefits:

• Salary paid weekly in USD or Local Currency according to preference.

 

Additional Details:

• PTO (Paid Time Off): 10 days of PTO after the first 6 months.
• Paid Holidays: 6 holidays per year after the first 6 months.
