Job Description:

Our client is seeking a highly organized and dependable Virtual Administrative Assistant to support day-to-day administrative and project coordination tasks. This part-time role is ideal for someone who excels at maintaining structured workflows, managing documents, and assisting with recurring administrative processes.

 

Responsibilities:

• Create, organize, and maintain project folders in Google Drive.

• Set up new projects and follow activation/close-out checklists.

• Keep internal logs, trackers, and sheets updated regularly.

• Maintain lists of outstanding tasks, follow-ups, and pending items.

• Support the administrative lead in day-to-day operational workflow.

• Create and update site maps using Google Earth.

• Assist in maintaining an organized map library for ongoing projects.

• Collect reference materials for report preparation.

• Gather information needed before field visits.

• Format, review, and prepare final reports before submission.

• Organize attachments, references, and supporting documents for each project.

• Assist with assembling proposal packets for final submission.

• Maintain inspection logs and confirm that all field documents are organized.

• Communicate updates promptly via WhatsApp or email.

• Handle miscellaneous administrative tasks as needed.

 

Required Experience and Qualifications:

• Experience performing administrative tasks in a fast-paced environment.

• Strong organizational skills and attention to detail.

• Fluent written and verbal English communication.

• Comfortable using Google Workspace (Drive, Sheets, Docs).

• Ability to work independently and maintain accuracy across recurring tasks.

• Capable of managing structured spreadsheets and following established processes.

• Comfortable learning new systems and tools (training provided).

 

Preferred Skills:

• Experience with Google Earth or mapping tools.

• Familiarity with reviewing or formatting Word/PDF documents.

• Background supporting construction, engineering, or technical teams.

• Experience coordinating small research tasks across multiple projects.

• Willingness to take on additional admin responsibilities as workload expands.

 

Personality:

• Highly communicative and responsive.

• Reliable, consistent, and thorough in daily execution.

• Quick learner who asks questions when needed.

• Proactive about keeping information organized and up to date.

• Able to juggle several small administrative tasks throughout the day.

 

Software & Tools:

• Google Workspace (Drive, Sheets, Docs)

• Google Earth

• Adobe Acrobat (PDF)

• WhatsApp or Email for daily communication

 

English Level:

C2

 

Schedule:

Flexible 9-5 PST
