Our Client is a digital marketing agency that works with mission-driven organizations, helping them manage and optimize Google Ad Grants and paid Google Ads campaigns to expand their reach and impact.

 

Job Description:

We are looking for an Executive Assistant & Client Success Liaison who will act as the internal accountability engine for our client’s operations. This role sits at the intersection of leadership, project management, sales, and client communication. The primary focus is to ensure that every commitment made to clients is documented, assigned, tracked, and delivered on time, supporting strong client retention and operational excellence.

 

Responsibilities:

• Attend all client calls alongside leadership and project management teams, or review call recordings when attendance is not possible.

• Identify and extract all deliverables, deadlines, and commitments discussed during client conversations.

• Convert meeting notes into clear, actionable tasks within the project management system immediately after each call.

• Perform daily reviews of all active client tasks to identify upcoming deadlines, overdue items, and stalled work.

• Proactively follow up with internal team members to ensure progress and remove bottlenecks before issues escalate.

• Provide daily status updates to leadership on high-priority tasks that are at risk.

• Manage and protect the CEO’s calendar, balancing sales calls with focused strategy time.

• Oversee the administrative onboarding process for new clients, ensuring a smooth handoff from sales to production and a positive first 30-day experience.

 

Required Experience and Qualifications:

• Experience supporting executives, managing projects, or coordinating client-facing workflows.

• Strong organizational skills with the ability to track multiple tasks and deadlines simultaneously.

• Excellent written communication skills for internal coordination and client-facing summaries.

• High attention to detail and accuracy in documentation and follow-through.

• Familiarity with fast-paced digital marketing or agency environments.

 

Preferred Skills:

• Experience working with digital marketing teams (paid ads, creative, SEO, or similar).

• Comfort holding team members accountable across different seniority levels.

• Ability to use AI or productivity tools to support note-taking and task capture in real time.

 

Personality:

• Extremely detail-oriented and proactive.

• Confident, persistent, and comfortable following up to ensure deadlines are met.

• Systems-driven, believing that clear processes are essential for success.

• Reliable, professional, and calm under pressure.

 

Software & Tools:

• Project management tools (e.g., Asana, Monday.com, ClickUp).

• Google Workspace (Docs, Sheets, Drive).

• Internal communication tools such as Slack.

 

English Level:

C2

 

Schedule:

Full-time, Monday–Friday 9:00 a.m.–5:00 p.m. EST
