Job Description:

Our Client is seeking a Full-Time Executive Assistant to provide high-level administrative and operational support to the Head of Operations and leadership team. The ideal candidate will be responsible for maintaining reports, ensuring CRM data accuracy, managing paperwork, and being a key point of contact for clients and stakeholders.

 

Responsibilities:

  • Provide high-level administrative and operational support to the Head of Operations and leadership team
  • Own and maintain reports, documentation, and administrative workflows
  • Ensure CRM data is accurate, up to date, and consistently maintained
  • Manage and process paperwork, including documentation for franchisees
  • Handle incoming calls and manage communication with corporate and external stakeholders
  • Act as a key point of contact for clients, ensuring timely responses and issue resolution
  • Document complaints, escalate them to Brand Managers, and track resolution
  • Actively monitor operational processes to ensure corporate and billing functions are being executed properly
  • Follow up across teams (including billing and corporate) to ensure tasks are completed on time
  • Maintain direct follow-ups with the CEO and leadership to ensure alignment and accountability

 

Required Experience and Qualifications:

  • Experience with billing, administrative operations, or similar roles
  • Previous experience as an Executive Assistant or in a highly operational support role
  • Strong organizational, communication, and follow-up skills
  • Ability to take ownership and proactively drive tasks to completion
  • High attention to detail and strong sense of accountability

 

Preferred Skills:

  • Background in sales or client-facing roles

  • Proactive and accountable
  • Detail-oriented and organized
  • Strong communicator and team player

 

Software & Tools:

  • Experience with CRM systems and administrative tools is advantageous.

 

English Level:

C1, C2, Native

 

Schedule:

9am to 5pm EST

 

Compensation & Benefits:
