About the Company:

Our client is a NASBA-registered CPE sponsor and IIA Authorized Licensee delivering continuing professional education and thought leadership to internal audit and risk professionals. Their event portfolio spans virtual webinars, multi-part series, virtual conferences, tech weeks, panels, roundtables, and live dinners and conferences across the U.S.

 

Job Description:

Our client is seeking a junior Event Producer to manage the end-to-end execution of their event calendar, including pre-event setup, live production, post-event close-out, and NASBA CPE compliance. This is a high-volume, detail-critical role where you will manage multiple events simultaneously at different stages of production, working directly with the Chief of Staff.

 

Responsibilities of the role:

• Build and publish event pages on Luma; manage registration setup, confirmation emails, and reminder sequences.

• Format and import opt-in/registration lists (CSV processing, Luma imports, Brevo list segmentation and tagging).

• Configure Zoom Webinar/Zoom Events: co-host assignments, panelist invites, polls, Q&A settings, waiting room, recording settings.

• Set UTM tracking links and confirm all registration analytics are capturing correctly.

• Build run-of-show documents for each event type (webinar, panel, roundtable, conference track, dinner).

• Coordinate speaker and panelist logistics: confirm availability, send green room links, brief on format and timing.

• For tech weeks and multi-day conferences: manage session grid, speaker scheduling, track assignments, and sponsor logistics.

• Confirm NASBA compliance requirements are met before each session: poll configuration, attendance tracking method, session length, and credit type.

• Serve as live producer: manage Zoom controls, spotlight speakers, launch polls on cue, monitor Q&A, handle technical issues in real time.

• Track poll response rates and flag NASBA compliance risks mid-session (e.g., insufficient poll completion).

• Keep session timing on track; cue host and speakers per run-of-show.

• Monitor chat and surface audience questions to the host.

• Export and reconcile Zoom attendance and poll data against NASBA requirements.

• Build CPE completion trackers from Zoom exports; calculate eligible attendees per session.

• Pull registration and attendance analytics; log actuals against projections.

• Coordinate session recording processing and distribution.

• Draft post-event speaker and sponsor follow-up communications.

• Update event calendar and project tracker with close-out notes.

 

Required Experience and Qualifications:

• 1-2 years in event coordination, webinar production, or similar ops role.

• Hands-on experience with Zoom Webinar or Zoom Events as a producer or co-host.

• Working knowledge of Luma, Partiful, and Brevo (or a comparable ESP).

• Ability to process messy CSVs, reconcile attendance exports, and build clean trackers.

• Strong written communication skills for run-of-show documents, speaker briefs, and follow-up emails.

• Ability to manage 4-6 events simultaneously at different stages without dropping details.

 

Preferred Skills:

• Familiarity with NASBA CPE requirements.

• Familiarity with IIA standards or internal audit as a sector.

• Light graphic design skills.

 

Personality:

• Detail-oriented.

• Precise and fast with data.

• Strong written communicator.

• Organized and capable of managing multiple tasks simultaneously.

Schedule:

Independent contractor engagement (ICA)

Semi-monthly pay (15th and 30th)

Fully remote; overlap with U.S. Eastern business hours required for live event production.
