As their business expands, they are seeking a dedicated remote Administrative Assistant to support daily operations. This role plays a crucial part in managing client communications, processing orders, and ensuring timely follow-ups with both prospects and existing customers. The ideal candidate is fluent in both English and Spanish, with strong communication and administrative skills.
Job Description:
This is a full-time remote position focused on back-office support, email correspondence with clients, Excel reporting, and order entry using internal systems. The selected candidate will act as an extension of the executive team, representing them professionally in written communications. You will need to manage multiple administrative tasks efficiently while staying aligned with the company’s tone and customer service philosophy.
Responsibilities of the role:
Create and send professional follow-up emails to customers and prospects.
Handle email inquiries, respond on behalf of executives when needed.
Enter sales orders into the company’s online system accurately.
Generate and maintain Excel reports as needed.
Communicate internally via phone or Microsoft Teams with management and staff.
Receive regular training on internal software and tools.
Ensure high-quality, error-free written communication.
Maintain consistent communication with internal team to stay aligned on tasks.
Required Experience and Qualifications:
Proven experience as an Administrative Assistant, Executive Assistant, or similar role.
Native-level or fluent English (C1/C2) — must be better than average business-level.
Excellent writing and email etiquette in English.
Comfortable using Microsoft Excel and web-based systems.
Experience working remotely in a professional capacity.
Ability to work independently and communicate proactively with leadership.
Preferred Skills:
Previous experience in customer service or sales administration.
Familiarity with CRM systems or order management platforms.
Background working with U.S. companies.
Spanish proficiency (not required but nice to have).

10-6 EST.
