Job Title: Administrative Assistant (Remote)

 

About the Company:

Our Client is a construction and restoration services provider based in Los Angeles. They assist homeowners with scheduling, coordination, and project support throughout restoration and property-related services.

 

Job Description:

This role involves handling phone calls, scheduling appointments, managing emails, preparing proposals, and coordinating with homeowners, contractors, and internal teams.

 

Responsibilities:

• Handle incoming calls and follow-ups with homeowners.

• Schedule appointments and manage daily calendars.

• Prepare written proposals and send professional emails.

• Input and update information in the CRM system.

• Communicate with contractors, subcontractors, and sales personnel.

• Explain scope of work and services clearly to clients.

• Utilize social media tools and other contact sources to reach homeowners.

• Perform general office tasks and provide administrative support as needed.

• Manage tasks independently and resolve basic issues with minimal supervision.

 

Required Experience and Qualifications:

• Strong English communication skills (clear pronunciation, excellent phone presence).

• Experience working with CRM systems.

• Ability to write professional emails and proposals.

• High level of computer literacy and general tech-savviness.

• Ability to learn new software quickly.

• Strong organizational skills and attention to detail.

• Ability to manage stress and handle client conversations professionally.

• Fast learner capable of understanding processes without requiring repeated instructions.

• Basic research skills and ability to solve simple issues independently.

 

Preferred Skills:

• Experience with AppFolio (property management software).

• Background in property management is a plus.

• Experience in restoration, construction, or similar fields.

• Spanish-speaking ability is considered a strong advantage.

 

Personality:

• Friendly and professional phone presence.

• Smart, quick learner, and able to grasp new tools or processes rapidly.

• Multitasker who can handle various responsibilities throughout the day.

• Reliable, clear communicator, and able to work independently.

• Good problem-solving abilities and sound judgment.

 

Software & Tools:

• CRM tools (including Fusion and Liplap).

• AppFolio (preferred but not required).

• RingCentral or similar VoIP phone systems.

• Email, calendars, and general office productivity tools.

 

English Level:

C2

 

Schedule:

8am to 5pm PST

 

Salary and Benefits:

• Payment in USD or Local Currency according to candidate's preference.

• Remote position (100% work from home).

• Part-time to full-time progression depending on performance.

• Monday to Friday, working U.S. Pacific Standard Time hours.
