Job Description:
We are seeking a dedicated candidate to assist with client communication, data entry, and CRM management. This position involves ensuring smooth interactions with clients while maintaining accuracy and organization within case files.
Responsibilities:
• Ensure the accuracy and completeness of case files in the CRM.
• Enter new case information into CRMs (MyCase, FileVine, E-Immigration).
• Review and update case files daily.
• Upload and label client documents.
• Log all communications in the CRM.
• Track deadlines and important events using Google Calendar.
• Use Google Workspace to manage case-related information.
• Ensure compliance with the Three Points of Contact communication method.
• Serve as the main point of contact for clients.
• Confirm deadlines, appointments, and document requirements with clients.
• Assist clients with navigating the client portal.
• Send follow-up messages to confirm receipt of documents and instructions.
• Document all communications in the CRM.
• Help clients understand required documents and their importance.
• Escalate urgent matters to the case worker or attorney.
• Utilize ChatGPT and other AI tools for efficiency.
• Draft follow-up messages and summarize client documents.
• Organize case timelines and research general information as needed.
• Check work for clarity and accuracy before communication.
Required Experience and Qualifications:
• Comfortable with Google Workspace (Gmail, Google Calendar, Google Docs, Google Sheets, Google Drive).
• Ability to learn and work in MyCase, FileVine, and/or e-Immigration (training provided).
• Basic understanding of AI tools like ChatGPT in a work setting.
• Strong written and verbal communication skills in English (Spanish is a plus).
• Detail-oriented and organized.
Preferred Skills:
• Previous legal, administrative, or customer service experience is preferred but not required.
Personality:
• Tech-comfortable and detail-oriented.
• Fast learner with strong client interaction skills.
• Professional phone manner and effective communication abilities.
Software & Tools:
• Google Workspace (Gmail, Google Drive, Google Docs, Google Sheets, Google Calendar)
• MyCase, FileVine, E-Immigration (training provided)
English Level:
• C2
Schedule:
• Starting as a part time position from 10 AM to 3 PM during the probation period, transitioning to 10 AM to 6 PM EST.
Salary and Benefits:
• Payment in USD or Local Currency according to candidate's preference.
