Our client is a dynamic and fast-paced entrepreneur running multiple ventures including a talent agency (representing commercial, theatrical, and voice-over talent), a real estate investment operation, and a growing travel planning business. With the goal of building sustainable income across various income streams, our client is seeking an organized, proactive, and reliable Administrative Assistant to provide crucial support across these areas.
Job Description:
We’re looking for a highly organized and adaptable Administrative Assistant who can support our client across several businesses. This is a part-time remote role where you’ll be helping with administrative tasks, outreach, scheduling, basic social media activities, and general operations. This role requires someone who can multitask efficiently, communicate with empathy, and handle client-facing tasks in a professional manner.
Responsibilities:
Handle day-to-day administrative tasks across different ventures.
Assist with outreach communications (email, phone, SMS), including sensitive interactions with real estate leads.
Coordinate schedules, follow-ups, and reminders for meetings or deadlines.
Perform online research for travel bookings and planning.
Help manage and organize client data and documents.
Provide basic social media support (e.g., scheduling posts, monitoring engagement).
Communicate with external contacts and potential clients on behalf of the client.
Collaborate directly with the client to support business growth and day-to-day needs.
Required Experience and Qualifications:
Proven experience in an administrative, customer support, or virtual assistant role.
Excellent written and verbal English communication skills.
Strong organizational and time management skills.
Comfort handling outreach to clients or leads via email, text, or phone.
Experience working remotely and independently.
High level of discretion and professionalism.
Preferred Skills:
Prior experience in real estate, entertainment/talent industry, or travel coordination is a plus.
Basic knowledge of social media platforms (Instagram, LinkedIn, etc.).
Familiarity with outreach or CRM tools.
Bilingual in Spanish is a plus.
Basic video editing is a major bonus (but not mandatory).

Software & Tools:
Google Workspace (Gmail, Docs, Sheets, Calendar).

Instagram and other basic social platforms.
Zoom or similar for remote meetings.
Compensation & Benefits:
Part-time role (approximately 15–20 hours per week).
Opportunity to grow into more hours or split responsibilities with a second hire.
