Job Description:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior leadership. The ideal candidate will excel at managing multiple priorities, maintaining confidentiality, and ensuring smooth day-to-day operations. This position requires exceptional communication, time management, and problem-solving skills.
Responsibilities:
• Manage executive calendars, appointments, and scheduling logistics.
• Coordinate meetings, prepare agendas, take minutes, and ensure follow-up on action items.
• Handle travel arrangements, including itineraries, accommodations, and expense reports.
• Serve as the primary point of contact between executives and internal/external stakeholders.
• Draft, review, and manage correspondence, reports, and presentations.
• Maintain organized records and filing systems, both digital and physical.
• Support project coordination and assist with special initiatives as required.
• Anticipate the needs of executives and ensure they are well-prepared for meetings and events.
Required Experience and Qualifications:
• Minimum of 3 years of experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior management.
• Strong written and verbal communication skills in English.
• Excellent organizational and multitasking abilities with a keen attention to detail.
• Proven ability to handle confidential information with discretion.
• Experience managing complex calendars and travel arrangements.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Workspace.
Preferred Skills:
• Experience working in fast-paced, international, or remote team environments.
• Familiarity with task management or collaboration tools such as Asana, Slack, or Trello.
• Strong problem-solving and decision-making skills.
• Ability to adapt quickly to changing priorities and requirements.
Personality:
• Professional and discreet with strong interpersonal skills.
• Proactive, dependable, and resourceful.
• High emotional intelligence and strong sense of ownership.
• Calm under pressure and able to manage competing demands effectively.
