Job Title: Personal Assistant

Our Client operates a fully virtual solar sales business, providing innovative solutions in renewable energy to clients. They are seeking a highly organized, detail-oriented, and professional Personal Assistant to support the CEO. This role demands strong communication skills, advanced organizational abilities, and experience in administrative and operational tasks. The ideal candidate will be proactive and adept at managing tasks independently.

Responsibilities

• Build, maintain, and update spreadsheets (Google Sheets/Excel).
• Track KPIs for setters and closers (appointments, show rates, close rates, calls per day).
• Provide weekly performance reports with trend analysis.
• Manage calendars, schedules, and reminders.
• Coordinate daily/weekly meetings with sales team members.
• Ensure setter/closer dialer seat schedules do not overlap.
• Handle scheduling for interviews, orientations, and check-ins.
• Make phone calls to applicants for interviews, rep check-ins, or reminders.
• Draft and send professional emails/messages with perfect English grammar (must have a neutral/no accent when speaking).
• Maintain professionalism and discretion in all communications.
• Assist with filtering and scheduling interviews from ZipRecruiter leads.
• Keep hiring sheets updated (applicants, interviews, orientation dates).
• Follow up with reps during their trial period to confirm progress.
• Organize SOPs, sales scripts, and training materials.
• Track incentives, commissions, and payouts for accuracy.
• Help with CRM upkeep (appointment tracking, notes, pipeline).
• Provide daily summaries of pending tasks and priorities to CEO.

Required Experience and Qualifications

• Exceptional written and spoken English (must be clear, professional, and accent-neutral).
• Proficient in spreadsheets (Google Sheets/Excel: formulas, charts, data tracking).
• Strong organizational and time management skills.
• Comfortable making phone calls and handling professional conversations.
• Previous experience in sales operations, executive assistance, or team coordination preferred.
• Tech-savvy with ability to quickly learn platforms like Zoom, Notion, Enerflo, GoHighLevel, etc.
• High level of professionalism, punctuality, and accountability.
