Job Title: Bilingual Virtual Assistant (English & Spanish) – Telehealth Clinic

Our client is a growing telehealth clinic providing a wide range of healthcare services, including Primary Care, Urgent Care, Chronic Disease Management, and Medical Weight Loss. They serve a large Spanish-speaking immigrant community, making bilingual communication essential.

 

Job Description:

We are looking for a Bilingual Virtual Assistant to be the first point of contact for patients. This role involves answering inbound calls, assisting patients in English and Spanish, scheduling appointments, collecting patient information, and supporting administrative and billing tasks. The ideal candidate is empathetic, organized, comfortable speaking with patients, and has prior experience in a medical setting.

 

Responsibilities of the role:

• Answer incoming calls in English and Spanish.

• Schedule appointments for new and existing patients.

• Provide excellent customer service while assisting patients.

• Gather patient demographic information (Full name, Address, Phone number, Insurance information, Payment information).

• Verify basic insurance information.

• Assist with prior authorizations (basic knowledge preferred).

• Process general medical administrative tasks.

• Support medical billing activities.

• Order laboratory tests and medications following clinic procedures.

• Coordinate with pharmacies and laboratories.

• Send patient intake forms through the patient portal.

• Ensure patient records are complete before appointments.

• Learn and work within the clinic's Electronic Health Record (EHR) system (Tebra).

• Maintain confidentiality and follow HIPAA privacy guidelines at all times.

 

Required Experience and Qualifications:

• Fluent Spanish.

• Good spoken and written English.

• Previous experience as a Virtual Assistant, Medical Receptionist, Medical Assistant, or similar administrative healthcare role.

• Comfortable speaking with patients over the phone.

• Strong communication skills.

• Excellent customer service.

• Ability to multitask.

• Strong organizational skills.

• Comfortable learning new software.

• Background in healthcare (e.g., Medical Receptionist, Medical Assistant, Nurse, Clinic Administrator, Medical Office Assistant, Healthcare Virtual Assistant).

• Experience with medical terminology, medical billing, insurance verification, prior authorizations, patient scheduling, and EHR systems.

• Understanding of patient confidentiality, medical privacy, and appropriate handling of protected health information.

 

Preferred Skills:

• Tebra (formerly Kareo) experience.

• Experience with any EHR/EMR software, AdvancedMD, Athena, eClinicalWorks, DrChrono, Epic, or medical scheduling software.

• Basic OSHA awareness.

Part-time to start (20 hours/week).

Monday through Friday.

8:00 AM – 12:00 PM Mountain Time.

Flexible schedule during those hours if needed.

Expected to transition to Full-Time as the clinic continues growing.
