Job Description:
Our Client is seeking a professional, patient, and charismatic Bilingual (English/Spanish) Intake Specialist to serve as the initial point of contact for clients across all legal departments. This role requires exceptional communication, strong organizational skills, and a genuine aptitude for client engagement and sales.
Responsibilities:
Greet and welcome potential and existing clients with a professional and friendly demeanor, demonstrating patience and empathy.
Answer, screen, and manage a high volume of inbound calls and inquiries, primarily in Spanish and English, directing them to the appropriate departments.
Conduct initial client screenings and gather essential information for all legal practice areas (e.g., Family Law, Immigration, Personal Injury, Criminal, etc.).
Explain firm services and processes to prospective clients in a clear and compelling manner, assisting with the initial sales process.
Schedule, reschedule, and confirm client appointments and consultations.
Maintain organized client records and communications within the firm's CRM system.
Assist with administrative tasks as needed to support the intake and sales pipeline.
Actively engage with leads to convert them into new clients, demonstrating strong persuasive communication and sales acumen.
Required Experience and Qualifications:
High school diploma or GED (Required)
Proven patience and a strong client-centric approach.
Excellent interpersonal, verbal, and written communication skills in both English and Spanish.
Strong organizational skills and attention to detail.
Ability to operate a multi-line phone system and manage multiple inquiries simultaneously.
Proficiency in office administration tools such as word processing, spreadsheets, and appointment scheduling software.
Ability to work efficiently in a fast-paced environment and handle sensitive client situations with discretion.
Natural charisma and a strong character for sales, with the ability to build rapport quickly and effectively.
Preferred Skills:
Prior experience in a customer service, sales, or receptionist role.
Familiarity with legal terminology and documents is a plus.
Certification in paralegal studies or office administration is a plus.
Self-reliant, quick-minded, resilient, and adaptable personality.

CRM software (e.g., Salesforce, Clio Grow, HubSpot CRM)
Microsoft Office Suite (Word, Excel, Outlook)
Multi-line phone systems
