Job Description:
Our client is looking for a highly organized, proactive, and polished professional to support business development efforts and executive operations. This role is ideal for someone who enjoys helping close deals, creating polished client materials, managing follow-through, and keeping a fast-moving consulting practice organized and responsive.
The Business Development and Executive Operations Coordinator will work directly with firm leadership to help manage the full lifecycle of opportunities and client interactions, playing a critical role in helping the firm stay organized, responsive, and professional throughout the sales and proposal process.
Responsibilities of the role:
• Draft, edit, and format client proposals, presentations, statements of work, and engagement letters
• Create visually polished and professional proposal materials using Canva, PowerPoint, Microsoft Word, and AI-assisted platforms
• Coordinate proposal timelines and ensure deliverables are completed on time
• Maintain follow-up schedules with prospects and clients to help keep opportunities moving
• Assist with scheduling discovery calls, meetings, and follow-up conversations
• Help track opportunities and sales activity within CRM systems such as Monday.com, Salesforce, and HubSpot
• Ensure no active opportunities, proposals, or client requests fall through the cracks
• Support outreach campaigns, referral follow-ups, and relationship management efforts
• Assist with pricing models, proposal templates, and engagement standardization
• Support contract drafting, engagement documentation, and proposal revisions
• Manage executive calendars, reminders, and scheduling coordination
• Draft and organize contracts, engagement documents, and administrative materials
• Organize internal files, templates, and business development resources
• Coordinate electronic signatures and document workflows
• Prepare meeting agendas, notes, and action-item tracking
• Assist with invoice follow-ups, administrative reporting, and operational coordination
• Help improve internal systems and workflows for efficiency and consistency
• Maintain organized records and ensure timely responsiveness to clients and prospects
• Learn the firm’s services, methodologies, and business development strategy
• Help improve proposal consistency, branding, and client responsiveness
• Assist in developing reusable tools, templates, pricing calculators, and workflow systems
• Support financial modeling and engagement pricing analysis
• Use AI tools such as Claude and other productivity platforms to improve workflow efficiency and proposal quality
• Identify ways to improve processes and reduce administrative bottlenecks
Required Experience and Qualifications:
• Strong written communication and editing skills
• Excellent organizational and follow-through abilities
• Experience with proposal writing, business development support, executive assistance, or consulting operations
• Strong graphic design and presentation-building skills
• Comfortable using AI tools to improve efficiency and content quality
• High attention to detail and ability to manage multiple priorities
• Strong professionalism and client-facing communication skills
• Ability to work independently and proactively
• Comfortable handling confidential business information
• Strong understanding of business operations and professional services environments

Schedule:
Part-time to start, with flexibility based on experience and availability
Must be available during US Eastern Time business hours
