Job Description:

The Intake Specialist plays a crucial role in managing the intake process for potential new clients (PNCs). This position is responsible for qualifying leads, scheduling consultations, and maintaining accurate client records, serving as the first point of contact for prospective clients while supporting the firm's sales and referral processes.

 

Responsibilities:

• Conduct initial screenings of potential new clients to assess qualification.

• Identify and screen out unqualified leads and refer them appropriately.

• Follow up with qualified leads to complete necessary intake steps.

• Set up and confirm consultations with prospective clients.

• Ensure all necessary documentation is collected.

• Follow up with prospective clients post-consultation to ascertain the decision.

• Track all calls, consultations, and lead interactions in the firm’s CRM system.

• Maintain accurate records and generate performance reports.

• Conduct conflict checks during the intake process.

• Document all client interactions meticulously.

• Create and optimize client follow-up sequences.

• Take ownership of the Intake System.

• Design marketing materials including social media campaigns.

• Engage PNCs through social media platforms.

 

Required Experience and Qualifications:

• At least 1 year of experience in client intake, customer service, or sales in an Estates Firm.

• Proficiency with CRM software and scheduling tools (experience with Lawmatics or Clio is a must).

• Strong written and verbal communication skills.

• Ability to multitask and pay attention to detail.

 

Preferred Skills:

• Proficiency with Canva and Hootsuite.

• Bachelor’s degree.

 

Personality:

• Successful candidates are self-driven, organized, detail-oriented, and able to manage multiple tasks efficiently.

• They must have a good memory for processes and a proactive "figure it out and get it done" attitude.

 

Software & Tools:

• CRM software (Lawmatics or Clio).

• Communication tools (MS Teams).

• Design tools (Canva, Hootsuite).

 

English Level:

C2

 

Schedule:

9-5 EST - Fixed Schedule with lunch break.

 

Salary and Benefits:

Payment in USD or Local Currency according to candidate's preference.
