Our client is a U.S.-based HVAC service provider specializing in residential and light commercial heating and cooling solutions. Known for their reliability and customer-focused approach, they are rapidly expanding and seeking strong team players to help support operational growth from the inside out.

 

Job Description:

We are looking for a proactive and adaptable Administrative & Operations Assistant to support our client’s growing HVAC business. This position will start with administrative tasks like phone handling, scheduling, and technician coordination and will evolve into a broader operations role involving team support, customer follow-up, and digital content updates. The ideal candidate is dependable, detail-oriented, and excited about long-term growth within the company.

 

Responsibilities:

• Manage incoming phone calls and schedule service appointments.

• Coordinate with field technicians and ensure timely dispatch.

• Maintain accurate calendars and communicate scheduling updates.

• Follow up with customers for feedback and online reviews.

• Support the updating of online platforms and business listings.

• Assist in onboarding and managing additional support personnel as needed.

• Report directly to leadership and assist with ad hoc operational tasks.

 

Required Experience and Qualifications:

• Fluent in English with strong verbal and written communication skills.

• Excellent time management and task prioritization.

• Ability to learn technical terms and processes quickly.

• Experience in a service-based industry is an advantage but not required.

• Comfortable with remote tools (e.g., Zoom, WhatsApp) for training and daily communication.

 

Preferred Skills:

• Familiarity with HVAC or home services is a plus.

• Experience using scheduling or CRM tools.

• Comfortable with customer service and professional follow-up.

• Basic knowledge of updating business content on online platforms.

Software & Tools:

• Communication: Zoom, WhatsApp

• Scheduling: Google Calendar or similar tools

• Internal tracking and CRM software (training provided)

C1

 

Schedule:

9-5 PST
