Job Description:

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive support to the leadership of three different companies, including a foundation. This role requires a reliable professional who thrives in a fast-paced environment and values confidentiality and discretion.

 

Responsibilities:

• Manage and coordinate calendars, appointments, and meetings across multiple executives.

• Confirm and schedule meetings, follow up on commitments, and ensure timely communication.

• Answer incoming calls for the foundation and direct them appropriately.

• Handle general administrative duties such as data entry, email correspondence, document preparation, and file organization.

• Assist with internal communications.

• Proactively identify and solve problems, helping to streamline operations.

• Utilize tools like Microsoft Excel and AI-powered platforms to support workflow optimization.

• Maintain a high level of professionalism, confidentiality, and discretion in all aspects of the role.

 

Required Experience and Qualifications:

• Bilingual – fluent in English and Spanish (written and spoken).

• Minimum of 2 years of experience in a similar Executive Assistant or administrative support role.

• Strong organizational skills with exceptional attention to detail.

• Excellent communication and interpersonal skills.

• Proficiency in Microsoft Office Suite (especially Excel) and familiarity with AI tools.

• Ability to handle confidential information with discretion and professionalism.

• Self-starter with a proactive attitude and the ability to work independently.

 

Preferred Skills:

• Experience with calendar management and scheduling.

• Familiarity with project management tools.

• Ability to work under pressure while prioritizing tasks.
